Data protection notice

The Max Planck Society for the Advancement of Science (MPG) takes the protection of your personal data very seriously. We process personal data collected during visits to our web pages in accordance with the applicable data protection regulations. Your data will neither be published by us nor passed on to third parties without authorisation.

A.     General information

1.     Scope of data processing

As a matter of principle, we collect and use personal user data only to the extent necessary to provide a functional website and our content and services. The collection and use of personal data of our users is regularly carried out with the consent of the users. An exception is made in cases where the processing of data is permitted by legal regulations.

2.     Legal basis of the data processing

Insofar as we obtain the consent of the data subject for the processing of personal data, Art. 6 para. 1 lit. a EU Data Protection Basic Regulation (DSGVO) serves as the legal basis.

When processing personal data which is necessary for the performance of a contract to which the data subject is a party, Art. 6 para. 1 lit. b DSGVO serves as the legal basis. This also applies to processing operations which are necessary for the implementation of pre-contractual measures.

If the processing is necessary to safeguard a legitimate interest of the MPG or a third party and the interests, fundamental rights and freedoms of the data subject do not outweigh the former interest, Art. 6 (1) lit. f DSGVO serves as the legal basis for the processing.

3.     Data deletion and storage duration

The personal data of the person concerned will be deleted or blocked as soon as the purpose of the storage no longer applies. Furthermore, data may be stored if this has been provided for by the European or national legislator in EU ordinances, laws or other regulations to which the MPG is subject. The data will also be blocked or deleted when a storage period prescribed by the aforementioned standards expires, unless there is a need to continue storing the data in order to conclude or fulfil a contract.

B.     Provision of the website and creation of log files

Whenever our website is called up, our servers and applications automatically record data and information from the computer system of the calling computer.

The following data is collected temporarily:

  • Your IP address

  • Date and time of your access to the site

  • Address of the page called up

  • Address of the previously visited website (referrer)

  • Name and version of your browser/operating system (if transferred)

The data is stored in the log files of our systems. This data is not stored together with other personal data of the user.

The legal basis for the temporary storage of data and log files is Art. 6 Para. 1 lit. f DSGVO. Storage in log files is carried out to ensure the functionality of the website. In addition, the data serves us to optimise the website, to eliminate faults and to ensure the security of our information technology systems. These purposes also constitute our legitimate interest in data processing in accordance with Art. 6 para. 1 lit. f DSGVO.

The data will be deleted as soon as they are no longer required for the purpose for which they were collected. In the case of the collection of data for the purpose of providing the website, this is the case when the respective session has ended. In the case of storage of the data in log files, this is the case after seven days at the latest. Storage beyond this period is possible. In this case, the IP addresses of the users are deleted or alienated so that it is no longer possible to assign the calling client.

The collection of data for the provision of the website and the storage of the data in log files is absolutely necessary for the operation of the website. There is therefore no possibility of objection on the part of the user.

C.     Web Analysis

We use the web analytics program Matomo (formerly Piwik) for statistical data collection of user behaviour. This program uses cookies and JavaScript to collect various information on your computer and automatically transmits it to us. Whenever you visit our website, our system collects the following data and information from the computer system of the calling computer:

  • IP address, anonymised by abbreviation

  • Two cookies to distinguish different visitors (pk_id and pk_sess)

  • Previously visited URL (referrer), if transmitted by the browser

  • Name and version of the operating system

  • Name, version and language setting of the browser

Additionally, provided JavaScript is activated:

  • URLs visited on this website

  • Times of page views

  • Type of HTML requests

  • Screen resolution and colour depth

  • Browser supported technologies and formats (e.g. Cookies, Java, Flash, PDF, WindowsMedia, QuickTime, Realplayer, Director, SilverLight, Google Gears)

The storage and evaluation of the data takes place exclusively on a central server, which is operated by MPG. In addition to the central website www.mpg.de, it is also used by most of the Max Planck Institutes and many project websites assigned to the MPG.

The legal basis for the processing of users' personal data is Art. 6 para. 1 lit. f DSGVO. The processing of users' personal data enables us to analyse the usage behaviour of our users. By evaluating the data obtained, we are able to compile information on the use of the individual components of our websites. This helps us to constantly improve our websites and their user-friendliness. These purposes also include our legitimate interest in processing the data in accordance with Art. 6 Para. 1 lit. f DSGVO. By making the IP address anonymous, the interest of the users in their protection of personal data is sufficiently taken into account.
The data will be deleted after the formation of the final annual totals for the access statistics.

Of course you have the possibility to object to the data collection. You have the following independent possibilities to object to data collection by the central server:

  1. Activate the setting Do-Not-Track or Do not follow in your browser. As long as this setting is active, our central server will not store any data about you. Important: The Do-Not-Track instruction is usually only valid for the one device and the one browser in which you activate the setting. If you use several devices / browsers, you have to activate Do-Not-Track separately everywhere.

  2. Please use our Opt-Out function. Click on the hook in the following selection box at https://www.mpg.de/datenschutzhinweis/datenerhebung-deaktivieren to stop or reactivate the data acquisition. As long as the selection box is deactivated, our central server will not store any data from you. Important: For the opt-out we have to store a special recognition cookie in your browser. If you delete this or use a different PC/browser, you will have to object to the data collection again on this page.

This data will not be stored together with other personal data of the user.

The user's e-mail address is therefore stored for as long as the subscription to the newsletter is active. The subscription to the newsletter can be cancelled by the user concerned via email to infomaxcine@ab.mpg.de at any time.

F.     Contact form

There is a contact form on our website which can be used for electronic contact. If a user takes advantage of this option, the data entered in the input mask will be transmitted to us and stored. The processing of the personal data from the input mask serves us solely to process the contact. The data will be deleted as soon as they are no longer required for the purpose of their collection. This is the case when the respective conversation with the user has ended or the user's request has been finally processed. The conversation is ended when it can be concluded from the circumstances that the matter in question has been conclusively clarified. The user has the possibility to revoke the consent to the processing of personal data at any time by contacting the contact persons listed.

G.     Registration

On our websites we offer users the possibility to register by entering personal data via an input mask. As a rule, we collect your e-mail address, surname and first name. We will inform you about the concrete processing of the data during the registration process and obtain your consent. We also refer to this data protection declaration.

The legal basis for the processing of the data is Art. 6 Para. 1 lit. a DSGVO if the user has given his consent. If the registration serves the fulfilment of a contract to which the user is a party or the implementation of pre-contractual measures, the additional legal basis for the processing of the data is Art. 6 para. 1 lit. b DSGVO. Registration of the user is required for the provision of certain content and services on our website or for the fulfilment of a contract with the user or for the implementation of pre-contractual measures. The data will be deleted as soon as they are no longer required for the purpose of their collection. This is the case for the data collected during the registration process if the registration on our website is cancelled or modified. This is the case for the registration process for the fulfilment of a contract or for the implementation of pre-contractual measures if the data is no longer required for the implementation of the contract. Even after conclusion of the contract, it may still be necessary to store personal data of the contractual partner in order to fulfil contractual or legal obligations.
As a user, you have the possibility to cancel the registration at any time. You can have the data stored about you changed at any time; the procedure is described in more detail in the specific registration process.
